Velo Systems LLC ("Velo Systems," "we," "us," or "our") operates the website velosystems.io and provides a missed-call recovery service to local service businesses. This policy explains what information we collect, why we collect it, how we use it, and the choices available to you.
1. Who This Policy Covers
This policy applies to two groups of people:
- Business clients are owners and staff of the service businesses that hire Velo Systems.
- Callers are members of the public who place a phone call to a business that uses our service and whose call goes unanswered.
2. Information We Collect
From callers
- Your mobile or landline phone number, captured automatically when you place a call to a phone number managed by Velo Systems on behalf of one of our business clients.
- The date and time of your call and whether it was answered.
- The content of any SMS messages you send in reply to our automated text.
We do not ask callers for a name, email address, payment information, or location, and we do not collect them from any other source. If you volunteer such details in the text of a reply, they are stored as part of that reply and passed to the business you called. We do not record calls. We do not use cookies or tracking pixels to identify callers.
From business clients
- Business name, contact name, business phone number, email address, and business type.
- Revenue figures that clients voluntarily report to us for the purpose of calculating commission.
From website visitors
- Information you voluntarily submit through a form on velosystems.io, typically name, business type, phone number, and email address.
- Standard server logs generated by our hosting provider.
3. How We Use Information
- To send an automated SMS reply to a caller whose call to one of our client businesses went unanswered.
- To send a limited number of automated follow-up messages if the caller does not respond.
- To deliver an appointment booking link when a caller indicates interest.
- To maintain a record of missed calls and outcomes for the client business whose calls we handle.
- To calculate the commission owed to Velo Systems under our agreement with the client.
- To respond to inquiries submitted through our website.
We do not use caller phone numbers for our own marketing. We do not send promotional messages to callers. We do not build advertising profiles.
4. SMS Messaging Program
No mobile information will be sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third party. Phone numbers collected through our SMS program are used solely to respond to the caller's own inbound call on behalf of the business they called.
How you enter the program
You are messaged only because you placed a phone call to a business that uses Velo Systems, and that call went unanswered. Placing the call is the action that initiates contact. We do not obtain phone numbers from purchased lists, data brokers, web scraping, or any third-party source, and we never message a number that has not first called one of our client businesses. This is a conversational and customer-care program only. We do not send marketing or promotional messages to callers through it.
Message frequency
Message frequency varies and depends on your own call and reply activity. A single missed call results in at most four messages: one immediate text-back, up to two follow-up messages over the following several days if you do not reply, and, if your reply asks to schedule, one additional message containing a booking link. If you reply, follow-up messages stop. Follow-up messages are sent only between 8:00 a.m. and 9:00 p.m. in your local time zone.

Opting out
Reply STOP to any message to stop receiving messages. We also honor STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT, REVOKE, and OPTOUT. You will receive one confirmation message, after which no further messages will be sent to your number. Who the messages come from
Messages identify the business you called. They are pre-written, automated messages. They are not written in real time, and no person or automated system impersonates the staff of the business you called.
Carrier liability
Wireless carriers are not liable for delayed or undelivered messages.
5. How We Share Information
We do not sell personal information. We share information only in these circumstances:
- With the business you called. The client business receives the record of your missed call, your phone number, and your replies, so they can serve you. This is the purpose of the service.
- With service providers that operate our infrastructure. These providers process data on our behalf and are contractually restricted from using it for their own purposes:
- Twilio Inc., telephony and SMS delivery
- Make.com (Celonis SE), workflow automation
- Airtable Inc., storage of call, message, and booking records
- Google LLC, business document storage
- Cal.com Inc., appointment scheduling
- Netlify Inc., website hosting
- When required by law, in response to a valid subpoena, court order, or other legal process.
6. Data Retention
Caller phone numbers and call records are retained for the duration of our agreement with the client business plus the 90-day commission attribution window, and then for a reasonable period thereafter for accounting and dispute-resolution purposes. Numbers that have opted out are retained indefinitely on a suppression list for the sole purpose of ensuring no further messages are sent to them.
7. Security
Access to caller data is limited to Velo Systems personnel who need it to operate the service, and to the client business whose calls the data concerns. Our vendor accounts are protected by unique credentials and, where available, multi-factor authentication. No system is perfectly secure, and we cannot guarantee absolute security.
8. Children
Our service is directed to businesses and their adult customers. We do not knowingly collect information from anyone under 13. If you believe a child's information has been collected, contact us and we will delete it.
9. Your Choices and Rights
You may at any time:
- Reply STOP to stop receiving messages.
- Email us to request a copy of the information we hold about you.
- Email us to request deletion of your information, subject to any legal or accounting obligation to retain it.
Texas residents and residents of other states with applicable privacy laws may have additional rights. Contact us to exercise them.
10. Changes to This Policy
We may update this policy. The "last updated" date at the top reflects the most recent revision. Material changes affecting the SMS program will be reflected here before they take effect.
